Digitalization Funding in NRW: What You Can Apply for in 2026

15,000 EUR for your digital project. Essentially free money. Well, half free. You cover the other half yourself. But still: the German state of North Rhine-Westphalia (NRW) and the federal government put millions on the table every year so that small and medium-sized enterprises can digitize their processes. And almost nobody applies.

I see this with my clients in the Eifel region and Rhineland all the time. Someone is planning a software project, a new website, a digital booking system. The investment sits at 10,000 or 20,000 EUR. And when I ask: "Have you checked whether there's funding for that?", I usually get a surprised look. Or: "I thought that was only for big companies."

It's not. Most programs specifically target SMEs. Some even focus on micro-enterprises.

In this article, I give you an overview of the currently available funding programs in NRW (a German federal state). As of February 2026. If anything has changed since then, verify before applying. Funding programs are regularly adjusted, paused, or relaunched.

Which Programs Exist?

Here are the four programs most relevant for SMEs in NRW:

Two former programs are no longer available: the federal "go-digital" program expired at the end of 2024. "Digital Jetzt" was discontinued at the end of 2023. If you come across older articles recommending these programs, the information is outdated.

Let's look at each program in detail.

MID NRW Digitalisierung: Up to 15,000 EUR

The largest and best-known digitalization funding program in North Rhine-Westphalia. MID stands for "Mittelstand Innovativ & Digital" (SMEs Innovative & Digital) and has been administered by NRW.BANK since January 2026. Previously, Projekttraeger Juelich was responsible.

What Changed in 2026?

Quite a bit. And not all of it is good news.

The previous voucher system with three different voucher types was eliminated. Instead, there is now a single module: MID-Digitalisierung. The focus is on developing digital products and applications based on technologies like artificial intelligence, machine learning, augmented reality, or real-time data processing.

Here's the catch: digitizing purely internal processes is no longer subsidized since 2026. If you want to introduce new accounting software or set up an internal project management tool, that no longer falls under MID-Digitalisierung. You'll need other funding routes for that.

What is still funded: if you're developing a digital product for your customers, building a digital service, or enhancing existing offerings with intelligent features, then MID-Digitalisierung is a good fit.

Who Can Apply?

Micro, small, and medium-sized enterprises with headquarters in NRW. The EU SME definition applies: fewer than 250 employees, maximum 50 million EUR annual revenue or 43 million EUR balance sheet total.

How Much Is Available?

Up to 15,000 EUR in grants. The funding rate is uniformly 50%. This is a step down from before: micro and small enterprises received up to 70% of costs until the end of 2025. Now 50% applies to everyone. Minimum grant amount: 4,000 EUR. Your project must therefore cost at least 8,000 EUR to be eligible.

The funding is paid out as de minimis aid. This means it counts toward the total de minimis aid your company has received in the last three years. The cap is 300,000 EUR.

How Does the Application Process Work?

The process is two-stage. First, you register for a monthly lottery. Yes, you read that right: a lottery. Demand exceeds the budget, so spots are drawn by lot. The first draw took place on January 7, 2026.

If you're drawn, you can submit the actual funding application to NRW.BANK. If you're not drawn, you can participate again the following month.

Typical Reasons for Rejection

I regularly help my clients with funding applications. The most common mistakes I see over and over:

• Project has already started (offer signed, deposit paid, contract closed)
• The project is purely internal with no connection to a digital product or customer application
• De minimis cap already exhausted
• The provider is not based in NRW (required for certain services)
• Incomplete documents or missing quotes

MID Digitale Sicherheit: Up to 15,000 EUR for IT Security

Alongside digitalization, there is a separate MID module for IT security. Same funding amount, same process, but different focus. And here, internal measures are funded too.

What Is Funded?

The program has three focus areas:

1. Status quo analysis: penetration tests, vulnerability assessments, simulation of security incidents, creation of emergency plans
2. Employee training and awareness, organizational anchoring of IT security, further training for IT security officers
3. Software and hardware for basic IT protection: antivirus software, firewalls, patch management, anti-ransomware

For many SMEs, this is actually the more relevant program. Because IT security affects every company, not just those with digital products. And let's be honest: most small businesses I know have catching up to do on IT security.

Application Process

Identical to MID-Digitalisierung: lottery, then funding application. Also 50% funding rate, maximum 15,000 EUR, minimum 4,000 EUR grant amount.

NRW-Digitalzuschuss: Up to 2,000 EUR for Retail and Hospitality

A smaller but much more straightforward program. The NRW-Digitalzuschuss targets three industries: retail, hospitality, and tourism.

Who Can Apply?

Companies in NRW with fewer than 50 employees in the mentioned industries. There are two variants:

• NRW-Digitalzuschuss Handel (application via digihandel.nrw)
• NRW-Digitalzuschuss for hospitality and tourism businesses (application via tour-hotel-gastro.nrw)

What Is Funded?

Digital investments such as: setting up or improving a website, digital customer service tools, cashless payment options, online reservation systems. Exactly the things a restaurant or retailer needs to keep up in the digital everyday.

How Much Is Available?

Up to 2,000 EUR with 50% own contribution. That sounds modest, but it's enough for a solid baseline investment. A professional website for a restaurant or an online booking system for a hotel often costs exactly this range.

Check Availability

The program is budget-bound. The state government has allocated a total of ten million euros. When the money is gone, it's gone. Check the mentioned websites before applying to see whether funds are still available.

BAFA Unternehmensberatung: Up to 3,500 EUR per Consultation

Now we come to the federal program. The BAFA business consulting subsidy is not a pure digitalization program, but digitalization consulting is one of the eligible focus areas.

What Is Funded?

Consulting services by certified BAFA consultants. Strategic development, digitalization, processes, sustainability. The consulting must be carried out by a consultant listed with BAFA.

Who Can Apply?

Small and medium-sized enterprises, startups, and freelancers based in Germany. The guideline is valid until December 31, 2026. Within this period, each company can receive funding for a maximum of five consultations, but no more than two per year.

How Much Is Available?

The grant amount depends on location:

• Eastern German states (incl. Berlin): up to 80% of consulting costs
• Western German states (including NRW): up to 50% of consulting costs
• Maximum 3,500 EUR per consultation

For companies in NRW, that means: with a consulting fee of 7,000 EUR, you get 3,500 EUR reimbursed. That's a solid subsidy for a thorough digital strategy.

What Is It Good For?

Before you launch a major digitalization project, a subsidized consultation can help you set the right priorities. What do you really need? Which software fits? Which processes should be digitized first? This ultimately saves more money than the grant itself, because you avoid bad decisions.

And here's the beautiful part: you can combine the BAFA consultation with MID funding. First a subsidized consultation, then a subsidized implementation project. Two grants for one initiative.

The 5 Most Common Mistakes in Funding Applications

I've helped with several dozen funding applications over the past years. Some were approved, some rejected. The rejections almost always fall into the same categories.

1. Project started before application

This is the classic mistake. You sign a contract with an IT service provider. Then you learn about the funding. Then you submit the application. Rejected. The rule is clear: no project start before approval. This also includes deposits, binding orders, and signed quotes.

2. Wrong program chosen

Since the MID restructuring in 2026, MID-Digitalisierung no longer funds internal processes. Anyone who still submits an application for an internal CRM project gets a rejection. Check in advance which program fits your project.

3. Insufficient project description

"We want to digitize our processes" is not enough. The reviewers want to know: what exactly will be implemented? Which technologies are being used? What benefit does it have for your company or your customers? The more specific and concrete, the better.

4. Quotes missing or too vague

You need at least one detailed quote from a service provider. Lump-sum figures like "software development: 15,000 EUR" are not accepted. The quote should include work packages, hourly rates, and service descriptions.

5. De minimis threshold overlooked

If your company has already received other de minimis aid in the last three years (e.g., from other funding programs), the 300,000 EUR threshold may be reached sooner than expected. Check this before applying.

Step by Step: How to Apply for Funding

The process is similar across all programs. Here's the typical flow:

Step 1: Select a Program

First clarify which program fits your project. Digital product or intelligent application? MID-Digitalisierung. IT security? MID-Digitale Sicherheit. Consulting on digital strategy? BAFA. Small investment in retail or hospitality? NRW-Digitalzuschuss.

Step 2: Check Eligibility

Is your company headquartered in NRW (for state programs)? Are you an SME? Is the de minimis threshold not yet reached? Does your project fall within the funding catalog?

Step 3: Obtain a Quote

Get a concrete quote. For MID, the quote should clearly list work packages, time investment, and technologies. Don't sign any contract yet, that comes only after approval.

Step 4: Submit the Application

For MID, register for the lottery. For BAFA, submit the application online. For NRW-Digitalzuschuss, through the respective industry platform. Pay attention to completeness. Missing documents delay the process or lead to rejection.

Step 5: Wait for Approval

This can take time. With MID, you first need to be drawn, then your application is reviewed. Plan for several weeks to months overall. Start early.

Step 6: Implement the Project

Only after written approval may you begin. Follow the measures described in your application. Document everything: invoices, payment receipts, proof of services.

Step 7: Submit Proof of Use

After project completion, submit proof of use. This is the documentation that you used the money as applied for. Without proof of use, there's no money. Collect all receipts from the start.

My Advice: Don't Wait

The MID programs use a lottery system. That means: the earlier you register, the more draws you can participate in. If you weren't drawn in January 2026, you can try again in February. And March. And so on.

What I see with many SMEs: they put off funding applications because it sounds like bureaucracy. It is. But it's manageable bureaucracy for potentially several thousand euros in grants. Registering for the lottery takes less than 30 minutes. The worst that can happen: you're not drawn and try again next month.

And if you're planning a digitalization project that can be supported with funding, plan the funding in from the start. Talk to your IT service provider about it. A good provider knows the programs and can formulate the quote to meet the requirements.
